EVENT PLANNING

The most important considerations for planning an event with a tent are:

1. How many people will be using the tent? This will determine the size needed.

A. Will they be seated in rows of chairs ( Cathedral Seating ) or at tables and chairs?

B. Round tables or rectangular tables?

2. Do you plan on having serving tables, drink bars, dance floors, reception areas? All of these items will increase your need for square footage in the tent.

3. Considerations about the location of the tent or tents.

A. How large is the area where the tent will be set up? In smaller areas multiple tents can be used, by connecting the tents in a continuous structure that can be made in a multitude of shapes. Individual tents can be arranged to house different uses, like serving areas, seating, and dancing.

B. Is the ground level? Are there low hanging branches on trees that would interfere with a tent?

C. What is the surface area where you plan to set up the tent? Is it grass, bare dirt, asphalt, concrete?

D. Tents can be set up on decks, made to cover steps up or down, on patios. We can set tents over
flower beds to bring the landscape into the tent.

Calculations for square footage:

Cathedral Seating: ( Rows of Chairs ) Allow 10sq ft/person. This will allow for the chairs and isles to walk around the sides and up the middle.

Table Seating: Allow 15sq ft/person. This will give adequate room to arrange the tables, round or rectangular in a casual arrangement. You can squeeze more tables in with structured placement of the tables ( long straight rows with minimal isles ).

Dance Floors: Typical dance floors come in 4’x4’ sections. Generally they are set up in 12’x16’, 16’x16’, 20’x16’ or 20’x20’

Stages: Stages come in a variety of sizes and heights generally in five foot intervals in length, and width and 6” increments in height.

Drink Bars: Bars can vary but generally allow for 200sq ft. You have to allow for people standing in front of the bar to get their drinks.

Rectangular Serving Tables: A rectangular table is generally 2’wide x 8’ long. Typically you would allow an additional 3’ of clearance around the table, either for guests serving themselves or for caterers servicing the food items on the table. 112 sq ft/ Table.
